Administrative Assistant 4 - Northwest Athletic Conference (NWAC)

Description
Clark College is currently accepting applications for a classified overtime-exempt Administrative Assistant 4 that reports to the Executive Director of the NWAC. This is an 80% assignment working 32 hours per week. This position performs higher-level administrative duties as assigned by the NWAC Directors', such as directing and coordinating special projects, seeing projects through to completion, and managing projects within periods. This position supports the NWAC's office mission to support our constituents by maintaining high standards and visionary leadership in order to provide the best experiences for those we serve.

Job Duties and Responsibilities:

  • Maintain calendars and provide administrative support for directors and staff. Schedule meetings, take and transcribe meeting minutes.
  • Process purchase requests for equipment purchases, prepare and submit for payment.
  • Manage and reconcile financial books for the NWAC, including budget recommendations and annual plans.
  • Prepare, compile, and coordinate championship budget reports as needed. Perform complex word processing tasks, such as merging and sorting, integrating text with graphics, and creating Excel spreadsheets. May also include uploading/downloading files, creating footnotes, outlines, meeting minutes, and agendas.
  • Draft and proofread correspondence and materials for punctuation, grammar, spelling, format, and accuracy for final review and signature. Compose correspondence in response to requests for information from our members. 
  • Make travel arrangements for staff. 
  • Ensure critical business functions are met in the absence of the Executive Director.
  • Establish and maintain effective office procedures, efficient workflows, and interpret and apply administrative policies as applicable.
  • Establish and maintain effective working relationships with staff, management team, Board members, and internal and external stakeholders.
  • Prepare or assist in drafting reports, letters, and other correspondence and monitor information for time sensitive materials.
  • Serves as liaison between directors, commissioners, and Executive Board by relaying information and assignments, requesting status information, and tracking appropriately.
  • Serve as records coordinator for various areas.
  • Research and abstract information and supporting data in preparation for meetings, projects, and presentations.
  • Coordinate special projects and prepare comprehensive plans, summaries, and progress reports. 
  • Perform related duties as required.
